For the operator

From the invoice detail, finance sends the invoice (recipient captured for audit), marks it paid, and works any dispute in place: open it, resolve by rejection, credit note, or void-and-reissue. Credit notes are sequential and capped at the invoice total. The full lifecycle lives on one record instead of being split across email, a PDF folder, and a spreadsheet.

Business impact

The post-send lifecycle is where invoicing usually falls back into ad-hoc email, and that is exactly where disputes get lost and credits get mishandled. Keeping delivery, payment status, disputes, and credit notes on the invoice record gives finance a clean collections picture and an auditable history, which shortens dispute resolution and removes the quiet write-offs that come from losing track of what was agreed.
